For owners who want to authorise someone they trust to vote on their behalf at a general meeting – and to make sure any earlier proxy is cancelled so the new one is the one that counts.
What a proxy does: a proxy lets someone you trust vote on your behalf – not just at the AGM, but at any general meeting and on votes held outside meetings too. They can be another owner, a neighbour, a friend or a family member – they don’t even have to be an owner. If you later attend the meeting yourself, your presence automatically overrides the proxy, so it’s a sensible standing arrangement. For the full picture, see Make your voice heard.
Important – make it binding: if you have given a proxy before (including a standing one), appointing a new proxy doesn’t automatically cancel the old one. To avoid two proxies competing, your new appointment should state that it revokes any earlier proxy.
Dear Strata Manager,
Re: Appointment of proxy – Lot [LOT NUMBER] (Apartment [APT NUMBER]), The Precinct – Strata Plan 67688
I am the registered owner of the lot noted above. I wish to submit the attached form indicating my proxy to attend and vote on my behalf until I revoke this appointment in writing.
This appointment revokes any proxy I have previously given in respect of my lot, whether for a particular meeting or standing until further notice. I am notifying the previous proxy holder separately.
Please record this appointment against my lot on the strata company roll and confirm receipt by return email.
Yours faithfully,
